Dobson Mitchell Allport (Dobson Mitchell AllportWeOurUs) collects personal information, including sensitive information about individuals before, during and after provision of legal services to you.  This may be in writing including when you submit information online, during conversations, or in some cases collected from third parties (as advised to you from time to time).

The primary purpose of collecting personal information from you in Our Migration Assessment Form, Migration General Enquiry Form, Migration Questionnaires and Migration Portal (Migration Portal and Forms) is to collect initial information from you, in order to provide advice at an initial appointment and/or provide migration and/or legal services to you.  If We do not obtain the personal information requested, it may affect the efficiency of providing services to you or We may not be able to provide you with the relevant services.

Our privacy policy is available from Our website (https://doma.com.au/privacy/) which states how personal information is collected, used, disclosed and stored by Us.  It also includes information on how to contact Us to access and correct your personal information, as well as information on how to complain about a breach of your privacy.

By using the Migration Portal and Forms you are taken to have read and understood this personal information collection statement and consent to Us collecting and using your personal information for the purposes and in the manner set out in this statement and in Our Privacy Policy as amended from time to time.  You understand that you can obtain information about Dobson Mitchell Allport’s handling of personal information in Our Privacy Policy, available on Our website or on request.

Migration Portal and Forms

The Migration Portal and Forms are controlled by Dobson Mitchell Allport.  Personal information and other data is processed by Migration Manager Pty Ltd (the Data Processor), which is located at Nerang in Queensland, Australia.

Information provided in this personal information collection statement regarding the collection, processing, storage and destruction of personal information, documents and other data by the Data Processor is based on information provided by the Data Processor. What personal information is collected and stored through the Migration Portal and Forms?

The Migration Portal and Forms collect personal information, documents and other data that you enter in to the various fields and pages.  This data includes sensitive personal information that is entered by you and is transferred from the Data Processor to Dobson Mitchell Allport.

Until you save or submit information in the Migration Portal and Forms, We do not store any of your personal information.  We only store your personal information if you click save or submit.  If you do not save or submit your data, and you close your browser, everything you have entered will disappear from the Migration Portal and Forms.

If you save your Migration General Enquiry Form or Migration Assessment Form, the Data Processor will encrypt and securely store all the data (including personal information) you have entered for 90 days.  At the end of the 90 days your data will be deleted from the Data Processor’s server unless you have submitted it.

If you submit the Migration General Enquiry Form, Migration Assessment Form or Migration Questionnaire, or submit information or documents in the Portal, your personal information and data will be wiped from the Data Processor’s server after it is encrypted and securely transmitted to Dobson Mitchell Allport.

Do the Migration Portal and Forms automatically collect other data or use Cookies?

The Data Processor automatically receives certain types of data whenever you interact with the Migration Portal and Forms.  For example, when you use the Migration Portal and Forms the system automatically collects your IP address and the type of browser or operating system you use.  The Data Processor may also collect standard access data, such as the time and date of accessing the Migration Portal and Forms, usage of the Migration Portal and Forms and error tracking.  The Data Processor uses such data to help understand how visitors use the Migration Portal and Forms, to address performance issues and to manage security.

The Data Processor also uses session-based cookies to manage your login to the Migration Portal and Forms.  These session cookies exist only during one session and disappear from your computer when you close your browser or turn off your computer.

These processes and cookies do not collect data that individually identifies a visitor (personal information).  All usage data that is collected is aggregated and anonymous.  It is only used to tell the Data Processor how the Migration Portal and Forms are used so that the Data Processor can optimise users’ experience.

By using the Migration Portal and Forms, you are consenting to the use of cookies by the Data Processor and collection and processing of usage data and other services required to assist the Data Processor with this processing.  If you decide not to accept Migration Portal and Forms cookies, you may not be able to use certain features of the Migration Portal and Forms.

How and where is personal information from the Migration Portal and Forms stored?

If you save or submit information or documents in the Migration Portal and Forms, the Data Processor encrypts the information and documents using the AES-256 standard, which is the same encryption standard used by banks to secure customer data.  Encryption for storage is applied at the time the data and files are saved or submitted.

The Migration Portal and Forms use Microsoft Azure for data storage using exclusively its data centres in Australia.  Microsoft Azure stores data over several large-scale data centres.  According to Azure, they use military grade perimeter control berms, video surveillance, and professional security staff to keep their data centres physically secure.  You can find more information about Microsoft Azure’s security on their website.

From time to time, the Data Processor may also engage other third party IT service providers including ‘Raygun’.

How is my personal information and other data transferred to Dobson Mitchell Allport?

When you submit information or documents in the Migration Portal and Forms, your personal information and data are sent between the Migration Portal and Forms, the Data Processor’s servers and Dobson Mitchell Allport’s processing software over an encrypted and secure channel using 256-bit SSL (Secure Sockets Layer) encryption, the standard for secure Internet network connections.

Once your data is submitted, your data is stored by Dobson Mitchell Allport and authorised staff at Dobson Mitchell Allport will be able to view the data you have provided via their Migration Manager desktop software.

If you are located outside Australia and choose to provide information to Us, please note that the Data Processor transfers the data, including Personal Information and Data, to Australia and processes it there.

How do I see or edit my personal information or other data in the Migration Portal and Forms?

If you have not saved or submitted your Migration General Enquiry Form, Migration Assessment Form or Migration Questionnaire, and you haven’t closed your browser, you can edit your data by clicking through the pages/fields of the form and manually change your data yourself.

If you have saved your Migration General Enquiry Form, Migration Assessment Form or Migration Questionnaire, but not submitted it, please log in using the email address and password you provided at the time of saving (for the Migration General Enquiry Form or Migration Assessment Form) or your Migration Portal log in details (for the Migration Questionnaire).  Once you have logged in you can edit your data. Note that for security reasons if you have forgotten your password or login details for the Migration General Enquiry Form or Migration Assessment Form, these cannot be recovered by Us and your data will automatically be deleted 90 days after you saved it. If you have forgotten your password for the Migration Portal, you can use the ‘forgot your password?’ link on the Portal log in page to reset your password.

Once you have submitted your information and documents to the Migration Portal and Forms, your data is automatically and permanently deleted from the Migration Portal and Forms after it has been securely transmitted to Dobson Mitchell Allport.  If you would like your data to be edited after this point in time please contact Dobson Mitchell Allport by email using the ‘Contact Us’ section on the Dobson Mitchell Allport website.

How do I amend or save my Personal Information and other data in the Migration Portal and Forms?

If you have not saved or submitted your information or documents in the Migration Portal and Forms, you can just close your browser and your data should be deleted by the normal processes of your browser.

If you have saved your Migration General Enquiry Form, Migration Assessment Form or Migration Questionnaire, but not submitted it, please log in using the email address and password you provided at the time of saving (for the Migration General Enquiry Form or Migration Assessment Form) or your Migration Portal log in details (for the Migration Questionnaire).  Once you have logged in you will have an option to delete or amend your data.  If you do not submit or delete your Migration General Enquiry Form or Migration Assessment Form, your data will automatically be permanently deleted by the Data Processor 90 days after you first saved your form.

Once you have submitted your information or documents in the Migration Portal and Forms, your data is automatically and permanently deleted from the Migration Portal and Forms after it has been securely transmitted to Dobson Mitchell Allport.  If you would like access to your personal information after this point in time please contact Dobson Mitchell Allport.

Children

The Migration Portal and Forms are not intended for use by children under the age of 18. Due to the nature of the services provided by Dobson Mitchell Allport, personal details of children may be entered in to the Migration Portal and Forms but only with the permission of an authorised adult responsible for that child.

Disclosure of Data from the Migration Portal and Forms and Compliance with Laws

Other than stated in this Personal Information Collection Statement, Our Privacy Policy, or otherwise authorised or required by law, We do not share your personal information with any third party.

Amendment to Personal Information Collection Statement or Privacy Policy

We may amend this Personal Information Collection Statement or Our Privacy Policy from time to time. All updates and amendments are effective immediately by posting a revised version on Our Website.
